Assignment description
We are looking for three Project Administrators for one of our clients in the wind industry

The Project Administration Team provides administrative support to projects with the Offshore Wind portfolio from Market Development to Construction, Product lines and Operations & Maintenance Projects.

You will be allocated to specific projects where you will perform your tasks on a daily basis, reporting to the Project Management Officer or Programme Director. You will follow project governance processes and standards to ensure the smooth and timely running of administrative tasks in the project.

You will also be part of the Project Administration Team, contributing to the continuous improvement of our processes, standards and templates and sharing best practices. Open to all levels of seniority – junior to senior. Open to experience from other administrative postions.

Tasks & responsibilites
•Meeting, event and calendar management.
•Recording minutes and actions.
•Preparing reports, presentations and project documents.
•On/offboarding project team members.
•Maintaining distribution lists and organisation charts
•Sharepoint site management, including access rights.
•Internal communication with project team.
•Managing purchase requistions, purchase orders and contracts.
•Managing approval process of invoices.
•Storing and sharing project documentation.
•Engage and communicate with key stakeholders in the Offshore Projects, Commercial, Finance, Procurement and IT.
•Training and support to new projects and project team members.
•Take an active role in continuous improvement of templates and processes and finding ways to increase efficiency.

Advanced skills in
• MS Office, Teams, Powerpoint, Excel, Word, Sharepoint
• SAP finance and procurement
• Business English and Swedish
• Good understanding of processes, standards and templates
• Good communication skills
• Managing stakeholders
• Understanding of large scale construction projects.
• Experience in a project environment – preferably in the wind or construction industry.

Location: Solna, SE. Possibility to work from home 1-2 days a week.
